AI Solutions: Claude, Copilot, and ChatGPT Done Right

AI can save your team real time. Done carelessly, it can also expose the data your business depends on.

Syn Ack Fin helps organizations adopt Claude, Microsoft Copilot, and ChatGPT the right way: with the security controls, compliance awareness, and data access discipline you’d expect from a SOC 2 Type II audited IT provider. We help you choose the right tools, build solutions that fit how your team actually works, from AI assistants that answer questions straight from your own documents to agents that take on routine work, and then keep those solutions running, secure, and up to date as the technology changes.

We’ve Been Through This Ourselves

We didn’t learn AI from a slide deck. In 2026, we launched our own internal AI program to rethink how SAF works, from service desk tasks to documentation to the routine work that eats up a technician’s day.

Along the way, we learned what most businesses are about to discover:

  • The tools change constantly. Features, models, and pricing shift from month to month. What worked in the spring may be outdated by fall.
  • Data access is the real risk. An AI assistant can surface anything its user can reach. If your file permissions are messy, AI will find the mess.
  • AI needs an owner. Every assistant and automation we built needed someone responsible for keeping it accurate, secure, and useful over time. So each member of our team owns and maintains the AI tools for their own area of expertise.
  • Quick wins matter. The best results came from starting with practical, everyday tasks, proving the value, and building from there.

We bring those same lessons, and the same discipline, to every client engagement.

How We Help

AI Knowledge Assistants

Many organizations have the same problem: critical answers are buried in long manuals, policies, specifications, and handbooks, and staff spend hours answering the same questions by phone and email. We build AI assistants that answer those questions directly from your documents, for your staff, the public, or both.

  • Grounded, cited answers. Responses come only from the documents you approve, with the section and page they came from, so users can verify every answer.
  • Honest about what it doesn’t know. When the answer isn’t in your documents, the assistant says so and routes the person to the right team instead of guessing.
  • On your website or inside your organization. A browser-based chat that can be embedded on your existing web pages, clearly labeled as AI, with your own disclaimer language and designed to meet WCAG 2.1 AA accessibility standards.
  • Easy for your staff to maintain. An admin portal to upload, replace, and retire documents, with a clean cutover when a new edition takes effect, a reference library for acronyms and tricky questions, and a log of who changed what.
  • Better over time. Thumbs-up and thumbs-down feedback on every answer, with flagged responses routed to your staff to review and correct.
  • Measurable. Exportable reports on usage, common questions, and unanswered or low-rated responses, so you can see the impact and where to improve.

AI Readiness Assessment

Before AI touches your data, we look at who can access what. We review file sharing and permissions, identify sensitive information that shouldn’t be widely visible, and recommend the policies your team needs before anything gets turned on. If you’re considering Microsoft Copilot, this step matters more than any other. (Here’s why.)

Platform Selection and Setup

Claude, Copilot, and ChatGPT each have different strengths, licensing options, and data protections. We help you choose the right fit, or the right combination, and configure business-grade accounts with the security settings turned on from day one.

Custom AI Solutions and Agents

Beyond chat, AI can take on real work: drafting routine documents, summarizing information, answering common internal questions, and moving tasks between the systems you already use. We design and build AI assistants and agents around your workflows, with access limited to only the data each one needs. Where it makes sense, we build inside your own Microsoft environment, using services like Azure AI Foundry, so your data stays in your tenant under your existing security and identity controls. You own the data, the configurations, and the work we build for you.

AI Policy and Team Training

Your team is probably already using AI, with or without a policy. We help you put clear, practical guidelines in place, covering what’s approved, what data can be shared, and when a human needs to review the output, and we train your staff to use the tools well.

Ongoing AI Management, or a Clean Handoff

An AI solution isn’t finished when it launches. We maintain the AI agents and integrations we build for you: keeping them current as models and features change, reviewing their access, tuning them as your business evolves, and making sure they keep doing what they’re supposed to do. As AI moves from answering questions to taking action, like sending messages, updating records, or connecting to other systems, we limit each agent to approved tools, require human approval for high-impact actions, and watch for behavior that doesn’t look right. Prefer to run it yourselves? We’ll deliver full documentation, train your administrators, and provide a defined support period with a clear path to self-sufficiency. It’s the same managed approach we’ve applied to IT for 25 years, extended to your AI.

Doing AI Right: Security, Compliance, and Data Access

Every AI engagement we deliver is built on the same principles:

  • Least-privilege access. AI tools and agents only reach the data they need for the job. Nothing more.
  • Business-grade platforms. We use business and enterprise versions of these tools, which offer stronger administrative controls and data protections than free consumer accounts.
  • Compliance awareness. For organizations with HIPAA, financial, donor, or student data obligations, we factor those requirements into how AI is configured and what it’s allowed to touch. For example, health information shouldn’t go into an AI tool until the right agreements, such as a business associate agreement, are in place with the vendor.
  • Human oversight. AI output that affects clients, finances, or decisions gets reviewed by a person. We design that checkpoint in from the start.
  • Identity and roles enforced end to end. Administrator access through your existing sign-on, such as Microsoft Entra ID or Okta, with role-based permissions enforced in the back end and APIs, not just the screen.
  • Privacy by design. We minimize the personal information a solution collects, keep each user’s conversations isolated from other users, and set retention periods that match your policies and records obligations.
  • Recognized frameworks. Our approach aligns with the NIST AI Risk Management Framework and the OWASP guidance on AI and large language model risks, including prompt injection and data leakage.
  • Transparency with users. People should know when they’re talking to AI. We build in clear AI disclosures and link users to the source documents so they can check the answer themselves.
  • Documentation. You’ll know what each AI solution does, what it can access, and who is responsible for it. We also help you decide how long AI conversations and outputs are kept, since they can become business records. For custom builds, that includes architecture diagrams and documentation of how documents are ingested and updated.

Ask yourself: Do you know which AI tools your employees are using today, and what company information they’ve already shared with them?

Built on the Same Processes as Our SOC 2 Program

SAF is SOC 2 Type II audited, and we don’t set that discipline aside when the work involves AI. Our AI solutions follow the same kinds of processes our SOC 2 program is built on: controlled access, approved and documented changes, evaluation of the vendors we rely on, and a defined response when something goes wrong.

That means an AI agent we build for you isn’t a side project. It’s managed with the same rigor as the rest of your IT environment.

How We Deliver

AI projects succeed when they’re run like projects: with a plan, a single point of contact, testing, and a defined finish line. Every engagement has a named project manager and a phased rollout:

  1. Kickoff and discovery. We confirm goals, users, documents and data sources, security requirements, and success measures, and we’re clear up front about the time we’ll need from your team.
  2. Build and accuracy testing. We work with your subject-matter experts to build a set of real test questions with known correct answers, and we measure the solution against it before anyone else sees it.
  3. Internal launch. Your staff use it first, give feedback, and help us tune it.
  4. Pilot. A limited rollout to a wider or public audience, with close monitoring of accuracy, feedback, and performance.
  5. Full launch and acceptance. Go-live against an acceptance test plan you’ve approved, covering accuracy, document updates, performance under load, accessibility, and ease of use.
  6. Training. A train-the-trainer program and guides for your administrators, plus short how-to materials, such as a quick video with sample questions, for end users.
  7. Ongoing support. Managed support from SAF, or a documented handoff to your team.

Clear pricing. We provide fixed-price proposals that spell out the build, hosting, and AI usage costs, with a multi-year view of total cost of ownership, so there are no surprises after launch.

AI Rules Are Changing. Is Your Organization Ready?

AI adoption is moving quickly, and so are the expectations around it.

Colorado’s AI Law Takes Effect in 2027

Colorado’s automated decision-making law (SB 26-189) takes effect January 1, 2027. It applies to organizations doing business in Colorado that use AI or other automated tools to guide decisions about people in areas like employment, education, housing, lending, insurance, and healthcare. Requirements include advance notice, plain-language explanations after adverse decisions, access to meaningful human review, and record keeping. We help clients identify where AI is influencing decisions in their organization and keep the documentation that goes with it. (For legal interpretation, we’ll work alongside your counsel.)

Your Cyber Insurer Is Asking About AI

Insurers are adding AI-related questions and, in some cases, exclusions. Expect to be asked for an inventory of the AI tools you use, how they were reviewed before deployment, and how people oversee what they do. We help you keep that inventory current and answer those questions with confidence.

Regulated Data Needs Guardrails

Health, financial, student, and donor information all carry obligations that don’t disappear because an AI tool is convenient. We make sure the right agreements, settings, and access limits are in place before sensitive data goes anywhere near AI.

Claude, Copilot, or ChatGPT?

There’s no single right answer, and many organizations end up using more than one. In general:

  • Microsoft Copilot works inside the Microsoft 365 apps your team already uses, like Outlook, Word, Excel, and Teams, and draws on your organization’s Microsoft 365 data. That makes permissions cleanup essential.
  • ChatGPT is a versatile general-purpose assistant, with options for building custom assistants for specific tasks.
  • Microsoft Azure AI Foundry is a platform for building custom AI solutions inside your own Microsoft tenant, with a choice of leading AI models and enterprise security and identity controls.
  • Claude is strong at working with long documents, careful analysis and writing, and building AI agents that carry out multi-step work.

We’ll always tell you which AI model a solution uses and why. Because we work across all of these platforms, we’re not tied to any one vendor. We’ll help you match the tool to the job, keep licensing costs under control, and avoid getting locked into a single platform.

Who We Help

We work with education, hospitality, nonprofit, and financial organizations in Denver, Hawaii, and Oregon. What they share is a responsibility for sensitive information and a need to get more done with lean teams. That’s exactly where careful, well-managed AI pays off.

We also design AI solutions with public-sector requirements in mind: accessibility standards, open-records obligations, data ownership, Colorado’s AI law, and transparent multi-year pricing.

Frequently Asked Questions

Will these AI tools train on our company’s data?

It depends on the plan and settings. The business and enterprise versions of Claude, Copilot, and ChatGPT generally don’t use your organization’s data to train their models by default, while free consumer versions may have different terms. We review the terms and configure the settings for your specific situation.

Is AI safe for regulated organizations?

It can be, when it’s configured with the right access limits, the right platform tier, and clear policies about what data can be used. That’s the work we do before anything goes live.

Do we need technical staff to use AI?

No. We handle the setup, integration, and ongoing maintenance, and we train your team to use the tools confidently in their day-to-day work.

What happens after the AI solution is built?

We keep managing it. AI platforms change quickly, and we keep your solutions current, secure, and working as intended as part of our ongoing support.

Our employees are already using ChatGPT or Claude on their own. Is that a problem?

It can be. Personal AI accounts sit outside your control, and employees may be sharing company or client information without realizing it. We help you find out what’s being used, bring it onto company-managed accounts with the right settings, and put a clear policy in place, without slowing your team down.

Can AI be used against our business?

Yes. Criminals now use AI to write convincing phishing emails and to clone voices or faces for fake calls asking for wire transfers or password resets. Technology helps, but the strongest defense is process: verifying payment and account changes through a known phone number, every time. We help clients put those checks in place and train their teams to use them.

How do you keep AI answers accurate?

We limit the AI to your approved documents, require it to cite its sources, test it against a set of real questions with known answers before launch, and give your staff tools to review flagged answers and correct them. When the answer isn’t in your documents, the assistant says so and points people to your team.

Will we own what you build?

Yes. For custom solutions, you own your data, the configurations, and the work product we create. For any subscription tools, we make sure your data remains yours and can be exported if you ever move on.

Can our staff update the content without calling you?

Yes. We design solutions so authorized staff can add, replace, and retire documents, update reference material, and export reports through an admin portal, without new development work.

Where should we start?

With a conversation and an AI readiness assessment. We’ll look at how your team works today, where AI could help most, and what needs to be in place first.

AI is moving fast. You don’t have to figure it out alone, and you don’t have to choose between moving quickly and staying secure.
